Document File History
Created, Printed, Saved Dates

There are some documents that are used several times throughout the year. For these documents to have meaning, document the file history.

Insert the date and time a document was created, last printed, or last saved.
Usually this information is added in a header, footer, at the beginning or end of a document.

Click where you want the documentation inserted.

1. Go to Insert tab / Text group / Quick Parts
2. Click Field
3. In the Categories box, select Date and Time


4. In the Field names box, select CreateDate, or PrintDate, or SaveDate
5. In the Date formats box, click the date and time format
    Example: 5/4/2009 9:00 AM or 10/7/2009, etc.

If you want more information you can customize the data:

Click where you want the documentation inserted.
I usually like it at the top of the document.
Type Created: (Go to step 1 ...) Printed: (Go to Step 4...) Saved: (Go to Step 4...)

Save the document

When the document is printed, there are two options:
Print with the field codes displaying
or
Remove the field codes for printed, delete the file history.
When existing the document, do NOT SAVE the file. The coding will be lost.
The next time you open the document, the file history will display.
