Graphs or Charts

A graph or chart can be created in MS Word or PowerPoint. The process involves using a datasheet template. As you work with sophisticated tables, graphs, etc. make sure you save your file often.

Using Microsoft Word

Click Insert from the Main Menu
Click Object
From the drop down list, select Microsoft Graph 2000 Chart
Click Float over text check box
Click OK

Using PowerPoint

Click New Slide

Select Graph Slide
Double click to add graph

A sample datasheet will display showing the values and data cells

Overwrite the datasheet with your own values and data.
Click anywhere on the background and the datasheet will convert into a graph.

Open the Graph

Double click to open the graph
Left click on Graph (the 6 handles must be visible)

Right click inside the 6 handles
Select Chart Object
Select Edit
The full graph will display

A graph has three distinct areas. Each can be modified and edited separately.
Click inside the data area and handles will display
Notice the lower half of the next graph

Edit the figures as needed in the Data Table

The Legend is turned off/on by double clicking the Legend button in the Chart Area

The Data Table is turned off / on from the toolbar icon

Editing the Datasheet

Double click on the graph
Click View
Click Datasheet

Edit numbers and fields as needed

Using different Graph Formats

Double click on the graph to open it
Click on the Chart Type button
Click on the various types to see which best represents your graph

Sizing a graph

Highlight the graph
Use the handles to enlarge the graph

Grid lines
are activated from the toolbar, etc.

Category Axis Lines
Values Axis Lines

Display Chart by Row or Columns

Display by Row

Display by Column

Save the file
